Job Summary:
We are seeking a detail-oriented and organized Purchasing Clerk to join our team. The Purchasing Clerk will play a vital role in ensuring the efficient procurement of materials, supplies, and services necessary for our rental operations and vehicle maintenance. This role requires strong communication skills, attention to detail, and the ability to work in a fast-paced environment.
PREFERRED: Automotive/Heavy Duty Truck Parts experience preferred but not required.
REQUIRED: Typing & Computer Skills, Experience with Outlook & Office
Responsibilities:
- Procurement & Vendor Management:
- Light-Heavy Duty Truck Parts – Lookup, Quotes, Orders, Return & Core Tracking
- Process purchase requisitions and place orders for materials, supplies, and equipment related to Light-Heavy Duty Truck Parts & vehicle maintenance.
- Obtain quotes from multiple vendors, negotiate pricing, and select vendors based on best price and quality.
- Cultivate and maintain strong relationships with vendors to ensure optimal pricing and service.
- Research and identify new vendors to expand sourcing options and ensure competitive pricing.
- Price and schedule deliveries using knowledge of budget and schedule requirements at company facilities.
- Adhere to all company purchasing policies, processes, and procedures.
- Order Management & Inventory Control:
- Create and track purchase orders from initiation to delivery.
- Monitor inventory levels and proactively order items to prevent stockouts.
- Check deliveries and invoices against purchase orders for accuracy and resolve discrepancies.
- Track cores, warranty items, and returns (parts) efficiently.
- Assist in maintaining accurate inventory records and conduct periodic inventory checks.
- Ensure proper storage and organization of purchased items.
- Vehicle Maintenance Support:
- Source and order parts and supplies for vehicle maintenance and repairs.
- Coordinate with the maintenance team to ensure timely procurement of necessary items.
- Obtain fuel cards, and other items related to keeping the fleet moving.
- Reporting & Administration:
- Process invoices and resolve discrepancies with vendors.
- Maintain organized filing systems for purchasing documents.
- Data inputting and generate reports from the Fleet Maintenance system.
- Prepare and generate purchasing reports as needed.
- Report to purchasing managers on procurement activities.
- Assist in other administrative tasks as needed.
- General Company Standards:
- Follow all company rules, policies, and procedures, including prompt attendance and adherence to schedules.
- Avoid any activity that could adversely affect the company’s brand and image.
- Complete all assigned work and related record-keeping in a timely manner.
- Consistently meet all company standards for safety, service, and productivity results.
Qualifications:
- High school diploma or equivalent; associate’s degree or relevant certification preferred.
- Proven experience in a purchasing or procurement role.
- Strong knowledge of purchasing principles and practices.
- Excellent communication and negotiation skills.
- Proficiency in using purchasing software and Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time-management skills.
- Ability to work independently and as part of a team.
- Knowledge of vehicle parts and maintenance supplies is a plus.
- Ability to learn quickly and adapt to changing priorities.
